Privacy Policy

This Privacy Policy explains how HerpClutch handles information when you use the HerpClutch mobile app (“HerpClutch” or the “App”).

Developer / Publisher

HerpClutch is published by OCG EBAYONG LLC.

1. Your Account

You need a HerpClutch account to use the App. You can sign in with Google, with Sign in with Apple on iPhone and iPad, or with an email address and password. HerpClutch uses Firebase Authentication, a Google service, to create your account and sign you in.

Your account information is:

  • your name or display name;
  • your email address;
  • an account identifier (user ID); and
  • the sign-in method you use: Google, Apple, or email and password.

If you sign in with Google or Apple, that sign-in is also handled by Google or Apple under their own terms and privacy policies. HerpClutch does not use your account information to store, upload or synchronize your Herp and Clutch records.

2. Your Records Stay on Your Device

HerpClutch is local-first. The records you create are stored on your device, in storage that belongs to your account. They are not uploaded to HerpClutch and are not synchronized between your devices. Once you are signed in, you can use your records without an Internet connection; signing in and deleting your account need one.

Depending on the features you use, your records may include:

  • Herp IDs, names, species, sex, tags, notes, archive status and photos;
  • Clutch IDs, lay dates, egg counts, hatch dates, incubation information, parent Herps, photos, notes and status;
  • printer and label settings;
  • reminder and notification settings; and
  • search and filter selections.

3. Photos and Camera

Camera access may be used to take Herp or Clutch photos and to scan HerpClutch QR codes. Photo-library access may be used when you choose an existing image for a record. Photos you add are stored with your records on your device.

4. QR Codes

HerpClutch can create and scan QR codes for Herp and Clutch records. A HerpClutch QR code links to the record inside the App, for example herpclutch://herp/{UUID} or herpclutch://clutch/{UUID}. QR codes are scanned on your device; on Android, scanning uses Google's ML Kit. The App is not intended to open unrelated QR links automatically.

5. Labels and Printing

HerpClutch creates labels on your device. You can print them through your device's print dialog (System Print), save them, or share them. Where your device supports Brother Direct Print, HerpClutch sends a label directly to a supported Brother label printer on your local network, using the Brother printing software built into the App. To find printers on your network, HerpClutch may ask for permission to access your local network.

6. Notifications and Biometric App Lock

Notification permission may be used to deliver the hatch-date and incubation reminders you set up. Reminders are scheduled on your device.

If you turn on biometric app lock, HerpClutch uses your device operating system's biometric service. HerpClutch does not receive or store fingerprint, Face ID or other biometric templates; the App receives only the result your operating system provides.

7. Backups and Exported Files

Backup & Restore creates a backup file of your records and photos when you ask for one, and you choose where to save or share it. You can protect a backup with an optional password. The password is not stored, and it encrypts the record data in the backup file but not the photos the file contains.

Before it restores a backup, HerpClutch keeps a safety copy of your current records inside the App.

Backup files, labels and other files you save or share outside the App are under your control and are your responsibility. HerpClutch cannot reach them, and deleting the App or your account does not delete them.

When you create a backup file or share a label, HerpClutch first writes the file to the App's temporary storage on your device and does not delete it from there afterwards. Your device's operating system may clear that storage over time.

8. Device and Platform Backups

Your device or its operating system may also back up app data, for example to your Google or Apple account, depending on your device settings. Those backups are managed by your device and its provider, not by HerpClutch. They may keep copies of HerpClutch data outside HerpClutch's direct control, including after you delete your account.

9. Services HerpClutch Uses

HerpClutch works with these services:

  • Firebase Authentication (Google) — to create your account and sign you in.
  • Google Sign-In and Sign in with Apple — only if you choose to sign in with them.
  • Your device's operating system — for permissions, the camera, photos, notifications, biometrics, printing, sharing and files.
  • Brother printing software — built into the App, for Brother Direct Print on your local network.
  • Google ML Kit — on Android, to scan QR codes on your device.
  • herpclutch.com — the App checks whether an update is available. The request does not include your account information or your records.
  • Websites you choose to open — such as a printer manufacturer's page or the HerpClutch Help Guide.

Those services' own terms and privacy policies apply to them.

10. Analytics, Crash Reporting and Advertising

HerpClutch does not include analytics, crash-reporting or advertising services. We do not use your records for advertising, and we do not sell your personal information.

11. Subscriptions and Purchases

HerpClutch may offer paid subscriptions through the Apple App Store or Google Play. If you buy one, Apple or Google processes the payment, and HerpClutch does not receive your full payment-card number. The App may then receive the purchase and subscription information it needs to provide Premium access, such as product identifiers, transaction status and subscription status. Store-account and payment information is also subject to Apple's or Google's privacy policies and terms.

12. How Long Information Is Kept

Your account is kept until you delete it. Your records stay on your device until you delete them, delete your account on that device, or remove the App.

Archiving a Herp is not deletion: archived Herps stay available for historical Clutch relationships, labels and QR codes. Where permanent deletion is allowed, associated data such as tags and managed photos may also be removed. Permanent deletion may be blocked when a Herp is referenced by historical breeding records.

13. Deleting Your Account

You can delete your account in the App: Settings → Account Profile → Delete Account. You will need to confirm it is you, and you will need an Internet connection. When you delete your account:

  • if your account uses Sign in with Apple, HerpClutch first revokes its Apple authorization; if that cannot be done, your account is not deleted;
  • your HerpClutch account is permanently deleted, and you are signed out; and
  • on the device where you delete it, HerpClutch then deletes that account's record database, the photos and labels it manages for that account, the safety copies it kept before restoring backups, and that account's scheduled reminders. If something cannot be removed straight away, HerpClutch tries again the next time the App opens on that device.

If you sign in with Google, deleting your account signs you out of Google in the App but does not remove HerpClutch's access from your Google Account. You can remove that access in your Google Account settings.

Deleting your account does not delete:

  • records stored on your other devices;
  • backup files, labels and other files you saved or shared outside the App;
  • backup and label files still in the App's temporary storage;
  • device-wide settings, such as printer settings; or
  • copies in your device or platform backups.

If you cannot access the App, email support@herpclutch.com to ask for your account to be deleted. We may need to verify account ownership before processing a deletion request.

14. Security

HerpClutch uses platform and application safeguards appropriate to its local-first design, including the optional biometric app lock and optional backup passwords described above. No system can guarantee absolute security. You are responsible for your device's security, including its passcode, operating-system updates and backups.

15. Your Choices

You can:

  • decline or revoke optional device permissions in your device settings;
  • turn supported notifications on or off;
  • turn biometric app lock on or off where available;
  • edit, archive, restore or permanently delete records where allowed;
  • delete your account in the App; and
  • if you buy a subscription, manage or cancel it with the Apple App Store or Google Play tools.

16. Children's Privacy

HerpClutch is not directed to children under 13. If the App is later offered in a context subject to additional children's-privacy requirements, this policy and the App's compliance configuration must be reviewed before release.

17. Changes to This Privacy Policy

We may update this Privacy Policy as HerpClutch changes. This page shows the current version and its effective date. When a material change is made, the App may ask you to review and acknowledge the updated version before you continue.
